Q: I was advised by our President that it is not necessary to have a Vice President of the Conference. It was optional. Who then is responsible for handling the election of a new President?

A: It is required of every Conference to have a full slate of officers. This includes VP, Secretary, and Treasurer. Having multiple VPs is optional. In the temporary absence of a VP, or if the VP is considering a Presidential candidacy, the President may appoint another officer or member to head the nomination committee.

Q: One of our Conferences organizes a group of volunteers, some Vincentians and some not, to cook an evening meal once a month. Another Conference undertakes a “Christmas Giving Program” at its church whereby parishioners take a tag to donate a gift. The gifts are returned, and the Conference delivers the gifts to a community agency who will distribute them to the needy. There is no Vincentian visit with the ultimate recipients. How are these reported on the Conference annual reports?

A: These can be considered Vincentian activities but only the hours of the members should be recorded unless funds of the Conference are used to buy food or gifts; then the expenditures can be recorded, also. However, the donated items are not recorded because they are simply passed through to those doing the distribution. We have to be very careful in this, as we are prohibited from giving funds or other resources we purchase to outside organizations; we are also not allowed to fundraise on their behalf, either.

P: Nuestro presidente me informó que no es necesario tener un vicepresidente en la conferencia. Es opcional ¿Quién entonces es responsable de manejar la elección de un nuevo presidente?

R: Se requiere que cada conferencia tenga una lista completa de oficiales. Esto incluye vicepresidente, secretario y tesorero. Tener más que uno vicepresidente es opcional. En ausencia temporal de un vicepresidente, o si el vicepresidente está considerando una candidatura presidencial, el presidente puede designar a otro funcionario o miembro para ser líder del comité de nominaciones.

P: Una de nuestras conferencias organiza un grupo de voluntarios, algunos vicentinos y otros no, para cocinar una cena una vez al mes. Otra Conferencia lleva a cabo un “Programa de regalos navideños” en su iglesia mediante el cual los feligreses toman una etiqueta para donar un regalo. Devuelven los regalos y la conferencia los entrega a una agencia comunitaria que los distribuirá a los necesitados. No hay visita vicentina con los destinatarios finales. ¿Cómo se incluyen estos en los informes anuales de la conferencia?
